Clinic Settings
Clinic Settings is where you configure how your clinic operates inside Glovora — your booking mode, patient wallet behaviour, and developer options. The Clinic Information section also shows your verified address, timezone, and currency as a read-only reference.
Where to find it: Click your user avatar or initials in the top-right corner of the CRM, then click Clinic Settings from the dropdown menu.
The Booking Mode, Patient Wallet, and Developer Settings sections are only visible to the clinic Owner. Other roles will see the Clinic Information card only.
Clinic Information
The Clinic Information card displays your verified address and location details. These fields are read-only — they cannot be edited directly on this page. They were set during your initial clinic setup and are linked to your Stripe Connect account and geographic search visibility.
Fields shown:
- Address — your full formatted clinic address
- City/Town — the city or town the clinic is located in
- County/Region — the county, region, or state
- Postcode — your clinic's postcode or postal code
- Country — the country your clinic is registered in. This must match the country registered on your Stripe Connect account.
- Timezone — the timezone used for appointment scheduling and notifications throughout the CRM
- Currency — the currency used for all pricing, transactions, and payouts
Two buttons appear beneath the information:
- View on Map — opens Google Maps with your clinic address (only shown if an address has been set)
- Edit Address — takes you to the address setup page where you can search for and update your clinic's location, and also change your timezone and currency
Changing your address, timezone, or currency affects your clinic's booking calendar, patient-facing app, and payment processing. Only update these if your clinic has physically moved or if you made an error during setup. Contact your Glovora Account Manager if you are unsure.
Booking Mode
The Booking Mode setting controls how patients schedule appointments through the patient app. Select the mode that best fits your clinic's workflow from the dropdown.
The three modes
Self Book Patients can browse your available appointment slots and book directly through the app without any manual step from your team. The clinic's availability is shown in real time and the appointment is confirmed immediately on booking.
Pay Then Call Patients choose a treatment and pay upfront through the app, but the appointment time is not fixed at the point of purchase. After payment, your clinic contacts the patient to agree a time. This mode suits clinics that manage their schedule manually or cannot expose real-time availability in the app.
Disabled Online booking is switched off entirely. Patients cannot request or pay for appointments through the app. They must contact the clinic by phone or visit in person to make an appointment. Use this if you are not yet ready to offer app-based bookings or prefer to handle all scheduling offline.
The mode saves immediately when you select it from the dropdown — there is no Save button for this step.
Contact details for Pay Then Call
When Pay Then Call is selected, an additional section appears beneath the mode selector where you enter the contact details that patients will see after they pay.
After making changes to any of these fields, a Save Contact Details button appears. Click it to save. The button is disabled if the Phone number field is empty.
What each field means (Pay Then Call contact details)
| Field | Required | Description |
|---|---|---|
| Phone number | Yes | The phone number shown to patients after they pay. This is the number they will use to call and arrange their appointment time. Required before contact details can be saved. |
| WhatsApp number | No | A separate WhatsApp number if it differs from the main phone number. If left blank, the phone number is used for WhatsApp contact as well. |
| Preferred contact method | Yes | Tells patients how your clinic prefers to be reached. Choose from Phone call, WhatsApp, or Both (patient chooses). This appears as an instruction in the app after payment. |
Beauty Bank (Patient Wallet)
The Patient Wallet card controls whether patients can add their own funds to their Beauty Bank balance directly from the app.
Toggle: Allow patients to top up their wallet
When this toggle is on, patients see an Add Funds button inside the app and can pre-load credit to spend on treatments or packages at checkout.
When this toggle is off, the Beauty Bank wallet is still visible to patients and any existing balance they hold can still be spent as normal. Only the ability to add new funds is removed — the Add Funds button is hidden.
This is useful if you want to run a closed wallet — where you issue credit to patients as loyalty rewards or compensatory credit only, without allowing patients to self-fund their wallet.
The toggle saves immediately. There is no separate Save button.
Developer Settings
The Developer Settings card contains the Dev Mode toggle. This section is intended for use during clinic setup and testing — it is not needed for day-to-day clinic operations.
Toggle: Dev Mode
When Dev Mode is on, pages that have no real transaction data — such as the revenue Dashboard and the Payouts page — display sample placeholder data instead of an empty state. This allows you to explore the layout and functionality of those pages before your clinic has generated any real revenue.
When Dev Mode is on, a yellow warning banner appears on this page as a reminder:
Dev Mode is on — sample/placeholder data is visible on pages like Payouts and Dashboard when no real data exists. Turn this off before going live.
When Dev Mode is off, all pages show only real data. Empty pages show their standard empty state rather than sample figures.
The toggle saves immediately.
Dev Mode must be turned off before your clinic goes live with real patients. Leaving it on after launch means your team may see fictitious revenue figures and placeholder payouts alongside real data, which can cause confusion.
Common mistakes
Trying to edit the address, timezone, or currency on this page The Clinic Information card is read-only. To make changes, click the Edit Address button at the bottom of the card. That page allows you to search for and confirm a new address, and also update your timezone and currency settings.
Selecting Pay Then Call but not saving contact details Switching to Pay Then Call mode saves immediately, but the contact details — phone number, WhatsApp number, and preferred contact method — have a separate Save Contact Details button. If you enter or update those fields and navigate away without clicking Save, the contact information is not stored and patients will not see it after paying.
Leaving Dev Mode on when real patients start using the app Dev Mode is designed for setup and exploration. Once your clinic is live, any page that genuinely has no data (for example, the Payouts page before your first payout) will show placeholder figures to staff, not a blank state. This can mislead your team about the clinic's financial position. Check this setting before launching and turn it off.
Expecting non-owner staff to see Booking Mode or wallet settings Only the clinic Owner can see and change the Booking Mode, Patient Wallet, and Developer Settings sections. Managers, practitioners, and other roles will only see the Clinic Information card when they navigate to Clinic Settings.
Setting a WhatsApp number that is different from the phone number without testing it If you provide a separate WhatsApp number and set the preferred contact method to WhatsApp or Both, patients will use that number to message your clinic after paying. Make sure the WhatsApp number is active and monitored before enabling Pay Then Call mode, otherwise patients who have paid may not receive a response.
