Setting up your Glovora account

When you first log into Glovora, you are not taken straight to the main screen. Instead, Glovora walks you through a short setup process first. This takes about five minutes.

There are two steps: Clinic Location and App Builder Settings. Once you complete both, your account goes into a brief review period before you can go live with patients.

This article explains every step, every field, and every button — in plain English.


Logging in for the first time

  1. Open the link you received in your welcome email. It will look something like yourclinic.glovora.app. Type or paste it into your web browser (the programme you use to visit websites, such as Chrome or Safari).
  2. You will see a login screen. Type in the email address you registered with, then your password.
  3. Click the Sign In button.
tip

If you cannot remember your password, click Forgot password? underneath the Sign In button. Glovora will send a reset link to your email address. Check your junk folder if it does not arrive within a minute or two.


The Welcome screen

After signing in for the first time, you will see a screen with the heading "Welcome to Glovora".

At the top of this screen is a progress bar. It shows "Progress: 0 of 2 complete". This tells you how many of the two setup steps you have finished. Right now, that is zero — and that is completely normal.

Below the progress bar you will see two cards, one for each step. Each card has a Get Started button.

There is also a small "Skip for now" link at the bottom of the screen. We strongly recommend you do not use this. Glovora cannot be shown to patients until setup is complete.


Step 1 — Clinic Location

Click the Get Started button on the first card. You will be taken to a page called Clinic Location.

This is where you tell Glovora the basic facts about your clinic — where you are, how to contact you, and when you are open.

What each field means

Clinic Name This is the name that patients will see when they use the Glovora app. It is pre-filled with the name you gave when you signed up. If you need to change it, click the small Edit link next to it.

Phone Number Your clinic's main contact number. This is required. Type it in including the area code (for example, for a UK number: 07xxx xxxxxx).

Contact Email An email address patients or the Glovora team can reach you on. This can be the same as your login email or a different one, such as a bookings inbox. This field is optional but recommended.

Clinic Address Start typing your clinic address into this field and a list of matching addresses will appear below it. Click the correct one from the list. Glovora uses verified address data, so it is important you pick from the suggestions rather than typing the full address manually.

warning

Do not ignore the address suggestions and type the address out by hand. Glovora needs a verified address to set your timezone and currency correctly. A manually typed address may cause errors later.

Timezone Once you select your address, this field fills in automatically. It tells Glovora what time zone your clinic is in. You do not normally need to change this.

Currency This also fills in automatically based on your address. It sets the currency used for all prices in your clinic's app (for example, GBP for England).

Business Hours This is a grid with one row for each day of the week. For each day, you can:

  • Tick the day as open or closed.
  • Set an opening time and a closing time using the dropdown menus.
  • Set a break period if you close for lunch (optional).

Work through each day and set your real hours. Patients use these hours when they are booking appointments through the app.

Completing Step 1

Once you have filled in all the required fields, click the Save & Continue button at the bottom of the screen. Glovora will save your clinic details and take you straight to Step 2.

Double-check your phone number and business hours before clicking Save & Continue. These are the first things patients see when they find your clinic in the app.


Step 2 — App Builder Settings

You are now on a page called App Builder Settings. This is where you give your clinic its visual identity inside the Glovora app — your colours, your fonts, and your logo.

Patients will see these colours and your logo throughout the app. It is worth spending a few minutes here to make it feel like your brand.

What each field means

Colour Presets These are ready-made colour combinations you can apply with a single click. Options include Glovora Pink and Medical Blue, among others. Click any preset to instantly preview how those colours look. You can always adjust them further using the custom colour fields below.

Primary Colour This is the main colour used throughout your app — for buttons, highlights, and key elements. Click the colour box and type in your brand's hex code (a six-character code like #C9748A), or use the colour picker to choose visually. If you do not know your brand's hex code, your designer or anyone who has created your marketing materials will have it.

Secondary Colour A supporting colour used for backgrounds and less prominent elements. It is usually a lighter or softer version of your primary colour.

Accent Colour Used sparingly for small details and interactive elements. This is often the lightest of the three.

tip

If you are not sure which colours to use, start with a preset that feels closest to your brand and adjust from there. You can always come back and change colours later — it takes effect immediately in the app.

Typography This sets the font (the style of text) used throughout your patient app. Click the dropdown and choose from options such as Inter, SF Pro, or System. If you are not sure which to choose, Inter is clean and works well for any clinic style.

Logo Upload This is where you upload your clinic's logo. Click the upload area (or drag your logo file onto it) to add your image. Your logo file must be no larger than 5 MB. Accepted formats are PNG and JPG. A PNG with a transparent background looks best.

Your logo will appear at the top of your patient app. Make sure it is a high-quality image. A blurry or pixelated logo gives patients a poor first impression.

Completing Step 2

Once you are happy with your colours, font, and logo, click the Complete Setup & Go to Dashboard button at the bottom of the screen. This saves all your branding settings and submits your account for review.


After setup — the review period

After you click Complete Setup & Go to Dashboard, you will see a screen with the heading "Your application is under review".

This does not mean anything is wrong. Every new Glovora account goes through a brief review by the Glovora team. The screen explains what happens next and how long it takes — typically one to two business days.

You cannot access the main Glovora management area until your account is approved. The only button on this screen is Sign out, which logs you out of Glovora.

tip

You do not need to do anything while you wait. Glovora will contact you by email once your account is approved. After that, logging back in will take you straight to the main screen.


Once you are approved

When your account is approved and you log back in, you will land on the main Glovora screen. At the top, you will see a personalised greeting — "Good morning, [your name]" — and the line "Here's what's happening with your clinic today".

On the left side of the screen is a vertical menu. This is how you move between different parts of Glovora. The sections are:

  • Core — Dashboard, Client Profiles, Staff, Appointments
  • Growth — Reviews, Notifications
  • Money — Revenue, Payouts
  • Tools — App Builder, QR Generator, Integrations

The main area of the screen shows three summary panels:

  • Published Treatments — how many of your treatments are currently visible to patients in the app.
  • Active Memberships — how many membership plans you currently have published.
  • Live Offers — how many promotional offers are currently running.

When you first log in after approval, all three of these will show zero. That is expected. The next steps in this guide walk you through adding your first treatment, setting up a membership, and more.


Common mistakes

Skipping the address suggestions and typing the address manually. Glovora needs to verify your address to set your timezone and currency. If you type the address by hand without selecting from the dropdown, your settings may be incorrect. Always pick from the list.

Uploading a logo that is too small or the wrong format. A logo that looks fine on a business card may appear blurry on a phone screen. Use a PNG file, ideally at least 500 pixels wide. Check how it looks in the preview before completing setup.

Closing the browser during Step 2. If you close the browser or navigate away before clicking Complete Setup & Go to Dashboard, your branding choices will not be saved. Always use the button to finish.

Expecting immediate access after completing setup. Your account will not be active the moment you click Complete Setup. There is a review period of one to two business days. If you try to log back in straight away, you will see the review screen again — that is normal.
